Please consider the terms and conditions below before booking. You will be required to agree to these at the time of confirming your booking.

By booking any Roadshow or equipment hire you must have agreed to accept these terms:

  1. Our DJs are expected to work within legal safety guidelines. Under no circumstances should they be encouraged to break them or to work under unsafe circumstances.
  2. Completion of the URB Roadshow booking form constitutes a request for a service, not a confirmation of service. Until a specific confirmation is issued by the Head of Roadshow, URB cannot guarantee to provide any service.
  3. Food and soft drink is to be provided by the organisers of the event for the DJs and engineers. Should this not be possible, a rider of maximum £10 may be charged per event to cover food.
  4. URB members are volunteers, under no circumstances should the hirers be disrespectful or abusive to society members - should this occur it will be dealt with by the Students' Union disciplinary procedures.
  5. Transport of hired equipment and DJs is to be arranged by the hirers. If transport arrangements cannot be made then URB will arrange transport and charge this to the hirer.
  6. Insurance of hired equipment is to be arranged by the hirers. The hirer accepts full responsibility for Roadshow equipment for the duration of the event and transport to/from any event. Any damages whatsoever will be charged to the hirer.
  7. Health & Safety of the equipment, URB staff, event staff and third parties is the responsibility of the hiring party. Any paperwork required in this regard, above and beyond the generic URB paperwork, is to be produced by the hiring party.
  8. The hiring party is responsible for liaising with the University of Bath Security team regarding any events held on campus and should specifically request permission for URB to provide entertainment.
  9. URB reserve the right to cancel any booking up to one week before the event date.
  10. If services are provided for a time when URB Roadshow has previous commitments then URB shall try to provide an alternative service, but this is not guaranteed. URB shall endeavour to give the hirer suitable notice if no service can be provided.
  11. If the event is occurring outdoors then it is the responsibility of the hirer to provide electricity and shelter for URB DJs and equipment. Should no shelter be available URB reserve the right to stop any performance in bad weather, to protect their equipment. URB DJs shall endeavour to continue to perform as much as possible. When the bad weather has stopped then URB DJs shall continue to perform.
  12. At "Dry Hire" events (events where a URB DJ is not present) no set-up shall be provided for the equipment. It is the responsibility of the hirer to set up the equipment correctly. Any damage to equipment due to incorrect set-up shall be charged to the hirer. Prior to the event (at a time to be arranged by the hirer) a member of URB Roadshow can demonstrate the correct set-up at the URB studios.
  13. The hirer agrees that any short-term booking (less than one weeks notice) shall incur a late booking charge of 25% extra.
  14. Payments shall be made in full within 28 days of the invoice date issued by the URB Treasurer. If payment is not received within this period URB reserves the right to charge a 20% late payment charge to the hirer, and collect this debt through reasonable means.
